WhatsApp sales
Every quote request in a pipeline stage, all the way to the proposal.
Whoever messages you on WhatsApp becomes a contact and a card in the pipeline, and your team decides who handles each conversation. The person answering sees the history, asks the AI for a suggestion whenever they want and sends the PDF proposal without leaving the conversation.
- Meta's official API
- PDF proposal from the conversation
- Implementation with a specialist
How the sale moves
From "how much?" to the proposal, in four moves.
- 1
Comes in
Whoever messages you on WhatsApp or Direct becomes a contact and a conversation in the inbox.
- 2
Gets an owner
Decide who handles each conversation. Hand it to someone else without losing the history.
- 3
Moves through the pipeline
The conversation becomes a card. Drag it to another stage and reply without leaving the card.
- 4
Closes with a proposal
Build the proposal from a template and send the PDF in the conversation.
Sales are rarely lost on price. They're lost on response time.
Where the sale slips away
Three moments when the customer cools off.
- 01
After hours
The customer asks for the price on Sunday night. On Monday, the dashboard shows how many conversations went unanswered, and the team decides who handles each one.
See the pipeline - 02
During negotiation
The proposal comes from a template, with one-off, monthly or yearly items and a discount for closing quickly.

In the silence
The customer went quiet after the quote. Once Meta's customer service window has closed, the team follows up with a Meta-approved message.

What the customer writes
Four common messages and what happens to each one.
"How much is it?"
New lead. The team replies with the price from your list and asks what is still missing for the quote. If they want, they ask the AI for a suggestion and review it before sending.
What gets recorded
What the team needs to know before sending the proposal.
The details below usually define the proposal items. They live in the notes and labels of the profile and on the pipeline card, for whoever picks up the conversation later.
- What the person is looking for
- Quantity or size
- Delivery city or area
- Their deadline
- Budget range, if they share it
- Who makes the purchase decision
- Where they prefer to get the proposal (WhatsApp or email)
Prefer to ask everything at once? Send a form inside WhatsApp itself. The answers are saved.
Your team decides
Price, deadline and discount go in the proposal your team puts together.
Each negotiation sits in a pipeline stage, and the PDF proposal records the items, the amounts and the discount your team set.

To be fair
The proposal is the document. XBASE does not create payment links or collect signatures: billing goes through whatever your business already uses.
How to start
Start with one number and one pipeline.
Step 01 of 05
Create the account
Your team uses it in the browser, with nothing to install.
Step 02 of 05
Connect the official WhatsApp
Use your business number or a new one. The connected number starts working through Meta's official API and stops working in the phone app.
Step 03 of 05
Design the pipeline
Stages your way, designed with the expert team. In the conversation, you decide who handles each one.
Step 04 of 05
Bring your customers
Import the spreadsheet you already have, as CSV or XLSX.
Step 05 of 05
Turn on the AI with the team
The expert team writes the agent's instructions with you, organizes the files it will use and sets up the assistant that suggests replies to the team on WhatsApp.
You teach, you approve
The agent's files are the ones you choose.
Catalog, price list, policies and FAQs become the agent's files. You decide how it talks, what it should achieve in each conversation and what it must not say.
Files
PDF, Word, CSV or text.
See the agent's filesInstructions
Every change is saved, and you can go back to an earlier version.
Goals
For example: understand what the customer wants and what is missing for the quote.
Safety rules
Rules you turn on that filter profanity, email addresses, phone numbers and sensitive numbers in the agent's replies.
Adjustments
With evaluation turned on, XBASE suggests adjustments based on the agent's conversations. Nothing changes without your approval.
On WhatsApp, the AI suggests replies to the team, with the assistant set up with the expert team. In the website chat, the agent helps your visitors.See the AI agent
Rule and AI
A rule you write. An AI that reads the conversation.
Rule
A comment that becomes a conversation
Someone comments the keyword on a post and gets the text you wrote in Direct. The conversation continues with your team.
See comment to DirectAI
A suggestion for the team
The AI reads the history and proposes the reply. The person reviews it before sending.
See AI suggestions
Your team closes
The negotiation stays with someone who already knows the customer.
Automation and AI
- Open the conversation from the comment
- Suggest the reply
- Help visitors in the website chat
Your team
- Negotiate the price
- Agree on the deadline
- Send the proposal

Examples of operations
Built for businesses that sell through conversation.
Custom furniture store
Made-to-measure quotes and a PDF proposal with the project items.
Language school
The prospect asks about schedules and prices, and the enrollment moves through the pipeline.
Repair shop
The customer describes the problem; the team records the device on the profile and sends the quote.
Accounting firm
A company with several people on the profile and a proposal with monthly items.
Agency
A proposal with one-off and monthly items and a discount for closing quickly.
The examples only use features already in the product. XBASE is not built for one industry: the same operation serves different businesses.
Questions from people deciding
Questions about selling on WhatsApp with XBASE.
Will my customer be talking to an AI?
On WhatsApp, your team replies, with AI suggestions the person reviews before sending. In the website chat, the agent helps your visitors.
Isn't the WhatsApp Business app on the phone enough?
It depends on what the sale needs. In XBASE, each conversation becomes a card in a pipeline stage, each customer has a profile with the history, and the PDF proposal goes out from the conversation itself. Direct and email arrive in the same inbox, and each person sees what their role allows. The full comparison, including what the app does, is in XBASE or the regular WhatsApp Business app.
XBASE or the regular WhatsApp Business appWill I lose my number?
No: the number still belongs to your business. Once connected, it works through Meta's official API and stops working in the WhatsApp app on the phone. The team answers from the browser.
What if the AI gets a price wrong?
It can happen, as with any AI. That is why it works with the files you choose, follows the safety rules you turn on, and the website agent is tested before it goes live. On WhatsApp, it suggests and the person sends. The price that counts for the customer is the one in the proposal your team sends.
How is XBASE billed?
By monthly plan, paid by credit card. What changes from one plan to another is the size of the team and how many agents and automations you use: Plus is for 1 person and Pro goes up to 3. The per-message fees Meta charges are separate and go directly to the card registered with Meta; the calculator estimates that cost. Prices and limits checked on 11/05/2026.
See plansI don't have time to build a pipeline and automations.
The XBASE expert team builds it with you: it designs the pipeline stages, helps connect the channels, writes the agent's instructions and sets up the automations. You create the account, and your team runs it.
Can I send the proposal on WhatsApp?
Yes. Build the proposal from a template, with one-off, monthly or yearly items, generate the PDF with your brand and send it in the conversation or by email. There is no payment link or e-signature.
Can I follow up with people who stopped replying?
Yes, through your team. Meta's customer service window starts at the customer's last message; once it closes, Meta only allows a follow-up with an approved message. Create message templates in XBASE, submit them for approval and use them with the "/" shortcut in the conversation. There is no automatic follow-up: the team sends it.
From the first message to the proposal.
The next "how much?" already has somewhere to go.
